VII. Configuring Automated Cancellations/Refunds

    In order for automated cancellations/refunds availability you must define the refund rules as well as check the "Allow Online Cancellations/Refunds" option for a given class in the class settings tab. If you want to allow online cancellations/refunds for the majority of your new classes you can setup defaults in your profile. It's possible to define refund rules that allow full refunds ($0 fee) 20 days or more before the class start date, a $25 fee for between 15-20 days before the class, a $50 fee between 10-15 days and to not allow refunds 0-10 days before the class start date.

     

    Note: For reservation cancellations create a refund rule with a fee of $0 however many days before the class start date. Since no money has transferred it's not possible to charge a fee.

    Define Default Refund Rules

     

    1. To create default refund rules for all newly created classes go to Profile -> Class Presets -> Course Fees. Select a course type in the Course Type dropdown.

    1. In the "Refund Fees" table Click the "Add" button for the age range you want to add the refund rule to.

    1. Enter the fee, out of state fee if applicable and the number of days before the class start date. Click Save. Repeat for other age ranges.

    Default Allow Cancellation/Refund Setting

     

    1. To default all newly created classes to allow online cancellations/refunds go to Profile -> Class Presets -> Class Settings.  Check "Allow online cancellations/refunds" and Click Save.

    Class Automated Cancellation/Refund Settings – Class Maintenance

     

    1. To set an existing class or a single new class to allow online cancellations/refunds, Check "Allow online cancellations/refunds"  on the class settings tab and Click Save. If your default refund rules didn't exist at the time of the class creation you must define them for this class.

    1. Verify that the class allows Online Cancellations/Refunds on the Public Site by using the MSF Confirmation Number from a student who registered for the class and go to Manage page of the RES Public site.

    1. Click "Cancel Student(s)" button to determine if the cancellation fee is correct.

    1. Verify the cancellation/refund fee.
